The $7,286 Fleet Order: Chemical Guys, Tarpaulin Covers, and a Dashcam Lesson in Total Cost
I approved a fleet order on a Tuesday. By Friday, I was explaining why that order would cost almost twice what the purchase order said.
The order included Chemical Guys Diablo Gel wheel cleaner, a stack of tarpaulin car body covers, two-way radios from a dealer near Boston, and dashcams for the Subaru Foresters in our fleet. On paper, it was a routine equipment order. In practice, it was a $3,000 mistake hiding inside four line items.
I’m the operations lead who handles vehicle care and field equipment for a regional service company. I’ve been doing this for six years. I’ve personally made—and documented—fourteen significant ordering mistakes, totaling roughly $28,000 in wasted budget. That number isn’t a brag. It’s why I now maintain a checklist and why I’m sharing this.
Before fleet operations, I spent seven years in print production. I knew better. I knew a 300 DPI file had to be supplied at final size. I knew the difference between a budget business card and a premium one—the paper weight, the coating, the feel. I knew Delta E tolerances for brand color. But when I moved to vehicle equipment, I left that spec-first habit in the print shop.
The order that looked fine on paper
In my first year (2018), I made the classic beginner mistake: compare unit prices, pick the low ones. By 2023, I thought I’d outgrown that. Then this order happened.
The team needed four categories of stuff:

The tarpaulin car body cover line item: I chose a $39 cover because the fabric weight looked adequate and the listing said “universal.” The $85 cover had reinforced grommets, cross-vent straps, and a storage bag. The per-unit savings was $46. We bought six, so I felt good about the $276 in apparent savings. After two windy nights, two covers tore at the grommets and one flapped hard enough to scuff a door edge. The replacement order, plus expedited shipping, cost $229. That erased most of the savings, and it didn’t count the paint repair we narrowly avoided.
The radios: I called a two way radio dealer in Boston that another business had recommended. One quote was for handheld units only. Another quote, $850 higher, included programming, spare batteries, cradles, and a site walkthrough. I chose the cheaper one. The radios arrived with default frequencies. The dealer I bought from offered programming only if we shipped the units back and waited a week. We had a crew sitting idle and a job starting Monday. I ended up paying a local service shop $175 per hour to program them on a rush basis. That was $700 in labor and a lot of awkward phone calls. The real cost of that decision wasn’t $850; it was $1,550 plus three days of scheduling chaos.
The dashcams: This one still stings. I searched “best dashcam for Subaru Forester,” found three highly recommended models, and picked based on features and price. But a Subaru Forester with driver-assist tech has a sensor housing behind the windshield. One of the popular dashcam mounts blocked part of that sensor’s view. We found out after installing four units—not because the dashcam was bad, but because the mounting location and the vehicle trim didn’t play well together. We moved the units lower, bought a longer cable kit, and spent six hours on reinstallation. The hardware cost was minor. The labor and the “I told you so” from our lead tech were not.

So do the extra shipping, the compatibility research, and the phone calls you shouldn’t have needed to make.
The wake-up call came when I recreated the full cost of the order. The original PO was $4,200. The actual cost, including reorders, rush programming, longer cables, and lost crew hours, was $7,286. Give or take a few hundred—I didn’t track every hour on the dashcam installs. Roughly 70% over budget.
I still kick myself for not asking five simple questions before ordering:
- What are the actual specs, not the marketing specs?
- Does this fit the exact vehicles, mounts, and work patterns we use?
- What happens if it fails in the first week?
- What’s the installed cost, not the shelf price?
- What did I pay last time I chose the low quote?
To be fair, the cheaper radio quote wasn’t a trap. It was exactly what the quote said: radios. The problem was mine for assuming “radios” meant “usable radios.” The same went for the covers. No one lied to me. I just didn’t ask what “universal fit” actually covered.
The question isn’t “Which quote is lower?” It’s “Which option costs less by the time it’s installed, trained, and maintained?”
The checklist I use now
After that, I built a simple TCO spreadsheet. It has five columns: unit price, accessories needed, setup/programming, maintenance, and disposal/resale. For the wheel cleaner, that means cost per wash, not cost per gallon. For a tarpaulin car body cover, it means cost per winter, not cost per unit. For the radios, it means cost per field day. For the dashcam, it means cost per install, not cost per unit.
I also added a compatibility check. Now every order for vehicle electronics starts with the exact year, trim, and existing driver-assist system. For the Subaru Foresters, that means checking the dashcam mount location against the EyeSight sensor area. For other vehicles, it means verifying the radio mounts, antenna connectors, and power source. Compatibility research is boring until it saves you from a second install.
This may sound obvious to people who’ve been doing this longer than me. But I’ve watched the same mistakes happen three times with different buyers. Speed, price, support. Pick two? No—I need all three, and I need them listed in the quote.
Looking back, I should have demanded a compatibility matrix from the dashcam vendor. At the time, I assumed “recommended for Subaru Forester” meant “recommended for every Subaru Forester.” It doesn’t. If I could redo that decision, I’d send the vendor our vehicle list before ordering. But given what I knew then—that lists decide searches, and searches decide purchases—my choice was reasonable. It was also wrong.
This story was accurate as of early 2024. Vehicle models, dashcam mounts, and dealer service offerings change fast, so verify current compatibility before you order. The same goes for chemical formulations and tarp materials. The products will likely improve; the checklist will stay.
The cheapest option is rarely the cheapest. I learned that in print, forgot it in fleet, and now have a spreadsheet to remind me.
